Integration Process

A phone AI that fits seamlessly into existing business processes

Our structured integration process

The implementation and rollout of EIKI® follows a clearly defined methodology. This includes the targeted definition of results and corresponding performance parameters, the company-specific configuration of the AI, the operational rollout, and long-term performance measurement & control.

We place great importance on a seamless integration of the AI into existing business processes, ensuring that data security and high performance are structurally accounted for from the very beginning.

Potential Session: Strategic Use Case Identification

The starting point of our collaboration is the so-called "Potential Session." At this stage, our primary goal is to identify and prioritize concrete use cases for your company. As part of this process, we jointly analyze the status quo of your company and create a transparent comparison between your objectives and the current state of existing business structures and strategies.

The Potential Session focuses on clarifying the following key questions:

What is the company's concrete objective? Where are changes desired or necessary, and which results should be consistently pursued?

Where are the bottlenecks, or where are relevant resources lacking? Where is hidden optimization potential located?

In which use cases can the deployment of our emotionally intelligent phone AI create concrete added value?

Based on this analysis, we jointly develop specific deployment scenarios in a "Creativity Round" and discuss various rollout variants and their implications. We then evaluate and prioritize the defined use cases based on their cost-effectiveness, profitability, contribution to goal achievement, and likelihood of realization, taking into account your company's actual capabilities and capacity.

Finally, an exemplary use case is defined in detail and discussed, which will serve as the basis for modeling and configuring the phone AI going forward.

Strategic Rollout in Operation: Our 9-Step Integration Model

After identifying the suitable use cases, the operational rollout follows. This follows nine clearly defined work steps based on our "Initiation – Setup – Results" model:

Initiation

Goal definition, idea & concept development, comprehensive Company Setup based on trend and market research, company vision, identity, and mindset

Setup

Use case modeling including role and task allocation, conversation design & sales techniques, testing & implementation of the AI

Results

Pilot operation & rollout, evaluation & assessment of performance based on clearly defined KPI parameters, reviews, continuous optimization

The initiation phase consists of:

Strategic Setting Up the AI

This step lays the systematic and organizational groundwork for configuring the AI. Here, the target direction, the scope of use, and all necessary framework conditions for deploying EIKI® are discussed. The primary factors addressed are:

  • What role should EIKI® play within the company and in the respective use case?
  • In which areas of work are there bottlenecks? Where is there a fundamental need for automation?
  • Which processes should be handed over to the AI?
  • Which target group should be reached?
  • Which performance parameters and success criteria are decisive for future monitoring?

AI Type EIKI®

In this step, EIKI® is developed as a specific AI type. A clear functional profile is defined, which includes:

  • General presence: tone of voice, gender, dialect, and more
  • Dialogue and argumentation structure
  • Permitted decision-making scope
  • Role allocation, and more

Establishing this foundation ensures that the phone AI remains controllable, manageable, and operates exclusively within the defined behavioral framework.

Company Setup

This step creates the interface between the AI and your company. Here, a knowledge curation takes place based on a comprehensive Company Setup, ensuring that the AI can hold knowledgeable conversations and correctly convey your company's expertise to customers. Company-specific experience and processes are stored so that the AI gains an understanding of your company's sales, product, and process logic. This includes:

  • Industry, product, and management structures
  • Product and process experience
  • Sales logic
  • Consulting strategies, and more

13 Steps for Quality: 13-Step Quality Assurance

Before and during live operation, EIKI® undergoes a 13-step quality, security, and compliance testing model, to ensure a high level of system security, process stability, and conversation quality. In particular, four levels are strategically tested:

Conversation Quality & Role Understanding

This level focuses on EIKI®'s interaction with the customer during the conversation. It verifies whether the phone AI operates within the defined behavioral framework, fosters respectful and knowledgeable communication, and transparently discloses its role as a digital system.

Technical Stability

Here, system tests and stress tests provide clear validation of system stability. This checks whether every process step and the phone AI's conversation structure remain stable even under peak load and complex requests.

Data Protection & Regulatory Compliance

The GDPR test analyzes whether the dialogue complies with regulatory requirements and previously defined data protection parameters. This includes, in particular, access and deletion concepts, data minimization, and transparency obligations.

Resistance to Manipulation

This area tests the process security of the phone AI. A “fake test” checks whether EIKI® can detect and fend off potential manipulation attempts by external AIs or other outside parties.

6. Change Test

Detecting and resolving side effects

License Planning

As a final step, the integration of EIKI® is based on clearly structured license planning. This is oriented around your specific use case and the planned scope of integration, resulting in two differentiated usage profiles:

Use of the AI for an "action use case" with a fixed term

Use of the AI as part of a "resource use case" with an annual-based design.

Beyond this, license planning is also oriented around call volume, campaign structure, scaling requirements, and the defined performance parameters. The deployment planning remains flexible: you have the option to initially deploy the phone AI in individual defined scenarios and then expand the integration step by step as needed.

Billing is based on concrete performance units. A performance unit is based on the actual operational use of EIKI®, for example, the call volume within the defined period. A performance unit includes approximately 10,000 process minutes and 5,000 phone minutes.
